Introduction to the Price agreement plugin

With this plugin you can have quantity discount on 5 levels. These prices will overrule the default Selling price 1 / 2 / 3 and can be set per debtor (customer).

You can also set a special price for specific debtors (customers) per product, which overrule the default product price.

These also a special field available in which you can add the suppliers product number.

Also possible for multiple suppliers.

This field can also be used for information text why this debtor (customer / client) has a special price.

Use discount percentage so your customers can see what discount they are getting. This can be based on the default price you have set at the debtor. The document will still show the default prices and the line will show total with discount and percentage discount.

Groups are now in the list view of a stock item so you can see what groups get what discount.

Setup of Price agreements

Activate Price Agreement

Once you have activated the price agreement plugin, it will create Price agreement tab for each of your stock items, debtor (customer / client) accounts and creditor (supplier) accounts (if creditors (suppliers) is activated).

To Activate the Price Agreements Plugin:

  1. Click on Setup Tools Generic Plugins Price agreement                             
     
  2. Select the On option, to activate this plugin. If you wish to activate (enable) it for creditors (suppliers), Select the On option in the Use on creditor field.
  3. Select the following options, if necessary:
    • Calculate discount - If selected (ticked) it will calculate discount for the stock items.
    • Price Agreement on On Groups - You may select (tick) this option to apply the price agreements to debtor groups.
    • Price - Select any of the 3 selling prices on the list.
    • Update price with default price agreement -
    • Export -
    • Import -
    • Copy from debtor to -
    • Copy from creditor to -
    • Product and Debtor groups -
  4. You may tick the option
  5. Click on the Save button. This will activate price agreement

Product and Debtor groups

To manage stock groups and debtor groups for price agreements, you may click on the Product and Debtor groups button of the Price agreement setup screen.

 

Setup Groups

You may create up to Reporting groups 2 for stock items (products), debtors (customers / clients) and creditors (suppliers). These debtors (customers / clients) and creditors (suppliers) groups may be selected when on the Price agreements tab of a selected stock item when selecting a debtor (customer / client) accounts and creditor (supplier) account.

Using these groups are optional, but it will provide the facility to analyse the price agreements, discounts, etc. per group.

To create groups for Stock / Debtors and / or Creditors:

  1. Click on the Setup  -> Groups menu. The Groups screen will be displayed.
  2. Click on the Debtor Group 1 button.
  3. Select the “REPORTING GROUP ROOT” and click on the New button.
  4. Enter the name of your Groups (e.g. Retail, Wholesale, etc.).
  5. Repeat the process until you have entered all the debtor groups, etc.
  6. Click on the debtor group 2 and / or creditor group 1 or creditor group 2, and create groups, as necessary.
  7. Repeat the process for stock groups 1 / 2, as necessary.
  8. Click on the OK button to save your changes.

Price Agreements tab Stock Items

You may manage price agreements from the Price agreements tab of the Stock items screen. Price agreements may be added, edited or deleted for debtors (customer / client) accounts and for creditor (supplier) accounts.

To set Price agreements for Stock items:

  1. Click on the Action Stock items menu.
  2. Select a specific Stock item (product).
  3. Click on the Edit button. (Alternatively, you may double-click on the selected stock item).
  4. Click on the Price Agreement tab.  
  5. Select Sales (default) for debtor (customer / client) or creditor (supplier) account(s) or Purchases for creditor (supplier) account(s).
  6. Click on the Lookup button to select the debtor (customer / client) or creditor (supplier) account(s).
  7. To manage the Price agreements, you first need to decide what Price type you need to select. This will change the descriptions for Price 1, Price 2, Price 3, Price 4 and Price 5. This will then determine the values you need to enter for each of the price types. Select one of the following Price types and enter the values and until quantities as follows:
    1. Price:
      • Debtor - Enter the actual selling prices (usually lower than the default selling price of the debtor (customer / client)) and quantities.
      • Creditor – Enter the actual cost prices (usually lower than the cost price of the creditor (supplier)) and quantities.
    2. Percentage of avg. cost price - Enter the percentages of the average cost price.
    3. Latest cost - Enter the actual cost prices
    4. Disc % - Enter the percentage of the discount quantities.
    5. Historical - Enter the prices based on historical value and the quantities.
  8. External product code -  Enter the product code for the debtor (customer / client) or creditor (supplier), if available. 
  9. Groups - You may select a debtor (customer / client) group (if Sales is selected) or creditor (supplier) group (if Purchases is selected).
  10. Valid from ... To date - Enter or select the date(s) or period for which this price agreement is applicable.
  11. Click on the Post edit (tick) record button to save the changes.
  12. Click on the Save button of the stock item screen. 

Price Agreements tab - Debtors (Customers / Clients)

You may manage price agreements from the Price agreements tab of the debtor (customer / client) screen. Price agreements may be added, edited or deleted for stock items.

To set Price agreements for Debtors (Customers / Clients):

  1. Click on the Action Debtor menu.
  2. Select a debtor (customer / client) account on the list.

  1. Click on the Action Creditor menu.
  2. Select a creditor (supplier) account on the list.
  3. Click on the Edit button. (Alternatively, you may double-click on the selected creditor (supplier) account).
  4. Click on the Price Agreement tab.  
  5. Click on the Lookup button to select the stock item.
  6. To manage the Price agreements, you first need to decide what Price type you need to select. This will change the descriptions for Price 1, Price 2, Price 3, Price 4 and Price 5. Processing Documents for Price agreements

Price agreements may be used when processing documents:

  • Normal document processing
  • Standard POS
  • RetailPOS plugin
  • HorecaPOS plugin

When processing sales documents (i.e. invoices, credit notes and quotes) and quantities are entered which match your price agreement settings, it will automatically calculate the discount.

When processing purchase documents (i.e. purchases, supplier returns and orders) and quantities are entered which match your price agreement settings, it will automatically calculate the discount.


Price Agreement Reports

You may print lists of the price agreements.

To print Price agreement reports:

  1. On the Reports ribbon, select Reports → Plugins → Price agreements menu.                   
  2. Select the Debtor - Price agreement or Creditor - Price agreement report.
  3. Select the debtor (customer / client) account or creditor (supplier) account.
  4. Enter up to 5 quantities.
  5. Click on the OK button.
